About You
We are seeking a proactive, organized, adaptable, and detail-oriented Intake Coordinator (Bilingual, Spanish-speaking preferred) to report to our Clinical Operations Manager (COM). You are passionate about mental health, adept at managing a high volume of client-facing responsibilities, and dedicated to streamlining our client intake process. Your skills will enable you to drive intake efficiencies and act as a systems administrator, ensuring every potential client is properly screened and connected to their therapist.
Duties and Responsibilities
Your responsibilities will include, but are not limited to:
- Conduct approximately 35-45 screening calls each week with incoming clients to assess their needs, insurance coverage, and fit with our practice’s services.
- Complete comprehensive chart setup in our electronic health record (EHR) system for all new patients, ensuring data accuracy and compliance.
- As delegated by the COM, manage incoming inquiries on our clinical waitlist and be the first point of contact for potential incoming clients.
- Weekly meetings with the COM, COO and/or CEO, as determined.
- Attending and participating in administrative meetings, as determined.
- Ensuring that our clinic remains a respectful, collaborative space for all co-workers.
- Work a 40-hour work week M-F; 1-2 days in person at our headquarters in Berkeley is preferred.
Minimum Qualifications
As an individual, the following must describe you:
- At least 1 year of experience in a similar role in a high-volume call or customer service environment, preferably in a healthcare setting.
- Customer service oriented; the ability to screen clients compassionately while holding the necessary boundaries as set forth by our organizational treatment model.
- Detailed-oriented, organized, and a proactive initiative-taker.
- Flexible and adaptable.
- Solution-focused, problem solver.
- Growth mindset.
Preferred Qualifications
- Bilingual, Spanish and English fluency
- 2 plus years in a similar role in a mental health organization
Compensation
This is a full time hourly, salaried position.
- Hourly rate: $25 – $33/hr depending on experience
- Dental, vision, and health insurance (100% paid for the employee).
- 11 paid holidays.
- 3-weeks PTO.
- 401k + employer contribution (3% immediate, no vesting).
