Open Position:

Operations Coordinator (20 hrs / week)

(Remote with some in-person in Berkeley, CA)

About You

We are seeking applications for a part-time operations coordinator. The ideal candidate will bring their unique history, skills, and approach along with action-oriented, timeliness, project management, and operational skills. We welcome applicants with personal histories of struggle (SUD and/or mental health symptoms) that have a passion to help operate and coordinate the inner workings of a mental health clinic so that our clinicians can focus on what they do best: helping clients heal and grow.

Alongside having relevant expertise and a curiosity to grow as an operations coordinator, the preferred candidate will be technology friendly and have several opportunities for growth within the company (there may be an option for the position to be full-time with benefits in the near future).

Duties and Responsibilities

Weekly duties include:

  • Administrative coordination (i.e., pick up and sort mail, scanning of insurance authorizations and uploading to a patient’s chart, etc.).
  • Reconciliation of charts / payments in our electronic health record (i.e., entering insurance payments, auditing clinicians’ charts to ensure proper payment has been collected, etc.).
  • Managing incoming inquiries on our clinical waitlist.
  • Data collection for the COO and CEO (i.e, gathering data for reports for contracts, data associated with bi-weekly payroll, checking clients’ insurance coverage, etc.).
  • Weekly meetings with the COO and/or CEO as determined.
  • Social media and email list management (i.e., posting for our social platforms, writing drafts for the weekly email tip, etc.).

Other duties:

  • Project-based research including but not limited to the researching of relevant list serves, local graduate schools, local organizations for outreach, recruitment, and referral purposes.
  • Attend work reliably and arrive on time consistently.
  • Abide by all laws, rules, regulations, and codes of ethics that are binding upon or applicable to the services performed for Family Spring.
  • Keep data document files accurate and up to date.
  • Conduct and organize operations coordinator duties in a professional manner so as to maintain and increase the goodwill and reputation of Family Spring.
  • Be respectful and collaborative with co-workers.
  • Tend to other important duties which may be assigned by Family Spring.

Minimum Qualifications

  • At least 2 years experience in an operational role in a mental health direct service clinic.
  • Have a bachelor’s degree from a regionally accredited school.
  • Be available for up to 20 hours of work per week; at least 5 of those in our Berkeley, CA office.
  • Be willing to work collaboratively with colleagues and contribute to a positive workplace culture.

Preferred Qualifications

  • Have at least 5 years of experience in an operational role in a mental health direct service clinic.
  • Have a passion for supporting organization that specialize in working with patients struggling with trauma, substance use, and other mental health challenges.
  • Have an affinity for technology.

Schedule

  • 20 hours per week to be worked out directly with the CEO/COO.
  • At least 5 hours per week in-person, in our Berkeley, CA office.

Compensation

  • This is a W2 position.
  • Salary: $30/hr.
  • Non-benefitted.
